MentorNeko communicates with you almost entirely through email. Because the platform uses passwordless magic links, every email you receive is also a direct entry point into the platform. You never need to visit a login page separately; just click a link in any email and you are in.
Here is a breakdown of the emails you may receive and what each one means.
Welcome and Invite Emails
Your invitation email is the first message you receive. It contains your magic link and introduces you to the platform. Click the link to begin onboarding.
If your organization uses domain-based auto-enrollment, you may instead receive a welcome confirmation after completing your first login. Either way, this first email sets everything in motion.
Match Introduction Emails
When your program administrator approves a match pairing for you, both you and your match receive an introduction email. This email:
- Introduces you to your match partner by name
- Provides context about why you were paired
- Links directly to your shared Match Hub, where your partnership begins
This is one of the most important emails you will receive. It signals that your mentorship is officially active.

Session Reminder Emails
As your mentorship progresses through its session plan, you will receive reminder emails ahead of each expected session. These emails:
- Tell you which session number is upcoming
- Include suggested discussion topics or prompts for that session
- Link to your Match Hub so you can review your shared notes and goals before the meeting
Note: session 1 is covered by your introduction email, so you may not receive a separate reminder for the very first session.
Nudge Emails
If some time has passed since your last recorded session or activity, the platform sends a gentle nudge to check in. This is not a penalty; it is a friendly reminder that your match partner is waiting and your program admin wants to see both of you succeed.
Nudges escalate gradually if there is a longer period of inactivity. Your admin can see when nudges have gone out and may reach out directly if the gap is significant.
Partnership Agreement Reminders
If your program requires both partners to sign a partnership agreement before sessions can be logged, and the agreement has not been signed yet, you will receive reminder emails prompting you to review and sign. These stop once the agreement is complete.
Session Feedback Requests
After each session, both partners receive a short feedback request. These check-ins help your program admin understand how the partnership is going and give you a space to note any concerns. Completing these regularly keeps the feedback loop healthy and can affect the cadence of future nudges.
Monthly Partnership Recap
Some programs send a monthly recap email summarizing your partnership activity: sessions completed, goals updated, action items outstanding. This is useful for staying on top of your progress across longer-running programs.
Exit Survey Emails
When your match moves into its concluding phase (either because sessions are complete or an end date has been reached), you will receive an exit survey. This is your opportunity to reflect on the experience and share feedback with your program administrator.
Exit surveys are time-limited. Completing yours helps your admin understand what worked, what to improve, and how to make future matches even better.
Achievement and Certificate Emails
If your organization has achievements enabled, you will receive emails when you earn recognition milestones. Completing your profile, finishing your first session, reaching session milestones, and completing a full program are among the things that can trigger achievements.
When you complete a mentorship program, you may also receive a completion certificate you can save or share.

A Note on Email Frequency
The platform is designed to be helpful without being noisy. Most emails are triggered by real events in your mentorship, not sent on a fixed schedule. If you find yourself receiving too many emails or have concerns about a specific email, reach out to your program administrator. They manage notification settings for your organization.
