Run your program.
With full control.
Everything you need to configure programs, manage members, run matching, and track the metrics that matter. This guide covers the admin side of MentorNeko.
Program Management
Programs are the foundation of your mentoring experience. Each program has its own configuration, matching criteria, and session structure.
Two program types
Create always-on programs that run continuously with rolling enrollment, or fixed cohort programs with defined start and end dates. Each type supports different use cases, from ongoing leadership development to time-bound onboarding cohorts.
Matching criteria
Configure how members are matched within each program. Use weighted dimensions for structured scoring across profile fields, or write a natural language prompt and let AI rank candidates. Every match gets a written rationale.
Session structure
Set the number of sessions, check-in spacing, and session guides with agendas and prompts. Members see their session schedule on their dashboard.
Enrollment modes
Open enrollment lets any member join. Invite-only restricts to members you have explicitly added. Both options are configurable per program independently from your organization-level enrollment settings.
Templates
Use program templates to launch quickly with pre-configured dimensions, matching settings, and session structures. Customize from there.
Archive and wind-down
Archive a program to pause enrollments and matching while preserving active partnerships. Wind-down goes further: it terminates active matches, rejects pending ones, and notifies all participants. Archive is reversible; wind-down is not.
Matching
The match engine is where profiles become partnerships. You control every step.
Two matching modes
Structured mode scores candidates across weighted profile dimensions (skills, goals, seniority, communication style, and more). AI mode lets you describe what a great match looks like in plain English and uses a language model to rank candidates.
Rationale
Every proposed match comes with a written rationale explaining why it was made. This helps you evaluate matches before approving and gives participants context when they receive their match notification.
Approve and reject
All matches go through admin approval before becoming active. Review proposed matches, read rationales, and approve or reject individually.
Override matches
Need to pair two specific people? Create manual override matches that bypass the engine. Overrides inherit the program configuration and still create partnership agreements.
Mentor capacity
See each mentor's current load at a glance. Capacity is two-level: a global cap (1 to 3 mentees) set by the mentor, and a per-program cap set by the admin. The effective limit is the lower of the two.
Contention resolution
When multiple mentees compete for the same mentor, the engine resolves contention to ensure every participant gets a match before anyone gets a second one.
Member Management
Manage your roster from individual invitations to bulk CSV imports.
Bulk import via CSV
Upload a CSV to import members in bulk. The import process handles identity resolution, deduplication, and net-new members land as provisioned (unseated) until invited.
Roster sync
For ongoing membership management, roster sync keeps your member list current. Ideal for organizations with existing membership databases that change regularly.
Three enrollment modes
Domain auto-verify provisions members automatically when they sign up from an approved email domain. Invite-only restricts access to members you have explicitly added. Domain-gated waitlist allows approved domains but routes new members through admin review.
Member profiles
View complete member profiles including their bio, profile dimensions, enrollment status, program memberships, and match history.
Community directory
Manage the member directory that lets participants browse and connect with others in the organization. Members can opt out of being discoverable.
Configuration
Customize the platform to match your organization's brand, workflows, and policies.
Custom branding
Upload your logo, set brand colors, and customize the login page. All transactional emails are branded to match, so members see a consistent experience.
Dynamic profile dimensions
Define exactly what profile data matters for your organization. Add, remove, and configure dimensions like skills, career goals, seniority level, and communication preferences. The matching engine uses every dimension you configure.
Partnership agreements
Create customizable agreement templates that participants sign before their sessions begin. Agreements set expectations around meeting cadence, communication norms, and confidentiality. You can require signatures before sessions are allowed.
Notification preferences
Choose which admin notification categories you want to receive. Opt in or out per category so you get the alerts that matter without the noise.
Granular permissions
The platform includes a 19-permission system with pre-built presets. Assign permissions to admin team members for fine-grained control over who can view, manage, or configure specific areas of the platform.
Exit surveys
Configure exit survey questions that participants complete when a match concludes. Survey responses feed into your program analytics and help you improve future iterations.
Analytics and Reporting
Track program health and prove ROI with real-time dashboards.
Match health metrics
Monitor active matches with engagement indicators, session completion rates, and stall detection. See which partnerships are thriving and which need attention.
Session completion rates
Track how many sessions are being completed across programs. Drill down by program, cohort, or time period.
Program enrollment
See enrollment numbers, capacity utilization, and waitlist status across all programs in a single view.
Audit trail
Every admin action is logged. Member invitations, match approvals, program changes, and permission updates all appear in a searchable audit log for compliance and accountability.
Engagement and Recognition
Keep participants motivated and recognize the mentors who make a difference.
Achievement system
Achievements are awarded automatically based on real milestones: completing sessions, reaching goals, maintaining momentum. The system is toggleable per organization if you prefer a more understated approach.
Certificates
Branded certificates are generated automatically when a match completes. Participants can view and save them as PDF.
Mentor milestone tiers
Mentors earn tier recognition as they accumulate completed sessions and partnerships across programs. This acknowledges sustained contribution over time.
Partnership health digests
Receive periodic digest emails summarizing match health across your programs. See which partnerships are stalled and which are paused, so you can intervene when it matters.
